Service invoicing from completed job to issued invoice

Invoicing gets slow when the office has to piece the job together afterwards. Revintia can build the invoice draft from work already recorded on the case: hours, overtime, mileage and materials become lines you can review in the draft before the invoice is issued.

The invoice draft comes from the recorded work

Normal hours, overtime, mileage, direct materials and parts from stock can become separate invoice lines from the case. Prices come from the recorded rates and sales prices, and if nothing has been recorded on the case, no invoice lines are made up.

The draft can be edited before the document is final

While an invoice is still a draft, customer name, notes and lines can be edited. Line totals, subtotal, VAT and total are calculated from quantity and unit price so the displayed numbers add up.

The invoice number and lock are applied when the invoice is issued

A draft has no invoice number. The number is assigned when the invoice is issued. After that, core amounts, lines, customer details and invoice number cannot be rewritten or deleted through ordinary user access.

A credit note mirrors the original document

A credit note points to the invoice it credits and is created with that invoice’s lines, signs reversed. It receives its own document number, and the same invoice cannot accidentally be credited twice.

What this covers

  • Invoice draft from the hours, overtime, mileage and materials on the case
  • Editable draft before issue
  • Line totals, subtotal, VAT and total calculated automatically
  • Invoice number assigned only when the document is issued
  • Issued documents and lines locked against later rewriting
  • Credit note linked back to the original invoice

Frequently asked questions

Does creating the invoice draft deduct stock a second time?

No. Material lines created from stock used on the case have no stock link on the invoice line, so stock already deducted on the case is not deducted again.

Can we edit an invoice before it is issued?

Yes. The draft can be edited and lines can be added while it is still a draft. Once issued, the core document fields and invoice lines are locked.

When does the invoice get its invoice number?

Only when it is issued. A draft has no invoice number, and the number is assigned when the document moves from draft to issued.

Can an issued invoice be credited?

Yes. The credit note references the original invoice and is created with its lines, signs reversed. It receives its own document number, and the same invoice cannot accidentally receive two credit notes.
